What NEW Intercambio collects when you use this website, what each piece of data is for, and what you can ask us for at any time.

Who is responsible for your data

NEW Intercambio Educational Services INC. is a Canadian education consultancy, headquartered in Toronto, with its own offices in Aracaju and Araraquara, Brazil. It is responsible for the data collected on this website.

What we collect

Only what you write, and only when you send us something:

  • Forms on the programme and contact pages: name, email and phone or WhatsApp. Depending on the page, also subject and message, city and state, the service or country you are interested in, and programme details (for example age, English level, driving licence and experience with children, on the Au Pair page).
  • Website chat: name, WhatsApp and email to start the conversation, the content of the messages you write and, if you ask for the conversation by email at the end, the address you give us.
  • The campaign that brought you here (the utm parameters), when you arrive from an ad.

The website does not ask for identity documents, does not ask for your date of birth and has no account or password. No form data is stored on the website server: it goes straight to our customer system.

What we use it for

  • To talk to you about your exchange programme, through the channel you gave us.
  • To put together your quote and run the process, once you decide to go ahead.
  • To understand which pages and ads bring people in, as numbers, without looking case by case.

Who we share it with

We never sell your data and we never hand our contact list to third-party advertising. We share only what is needed, and only with those who take part in the service:

  • Our customer system (NEW's own CRM, at newintercambioapp.com), where your contact details and history are kept.
  • Amazon SES (Canada region), the service our emails to you are sent through.
  • Partner schools and institutions, when it is needed to book a class, hold a place or process your enrolment.
  • Discord, where the NEW team receives internal notifications about appointments, meetings and enrolments. These notifications include your name and, in the appointment and enrolment notifications, also your phone number and email address.
  • NEW Hosting, NEW Intercambio's own hosting, in partnership with RGSolution, which runs the servers behind the website and the system.

Once you book a programme, who else receives your data depends on the package you bought. Depending on the case, we share what is needed with the insurance company, with the accommodation or host family, with the consulate and the visa agent handling your application, and with the airline. Each one receives only what it needs to do its part, and none of this happens before you book.

Website measurement and cookies

To know how many people visit each page and which ad they came from, the website uses two measurement tools, which set their own cookies in your browser:

  • Meta Pixel (Facebook and Instagram), which records visits and form submissions to measure our ads.
  • Google Analytics, which records page visits.

These tools measure browsing. They do not receive the content of your forms or of your chat conversations. Besides them, the website keeps the following in your own browser:

  • The name, WhatsApp and email you typed into the chat, so it does not ask for everything again on your next visit. They stay in your browser only, and you can remove them by clearing this site's data.
  • A simple cookie that keeps the page visit counter from counting you twice, valid for one day.
  • A temporary session cookie, only when you submit a form, to show you the confirmation screen.

How long we keep it

Your record stays in our system for an indefinite period, with no set date to be deleted. That is because an exchange programme is usually a slow decision: many people ask for information, come back months or years later, and do not want to tell us everything again. Keeping the history is what lets us pick up the conversation where it stopped.

If you no longer want to be in our database, just ask. We delete your record.

Your rights

You can ask us, at any time, for a copy of your data, for a correction of anything that is wrong, or for your record to be deleted. Just write to us.

  • Know which data of yours we hold.
  • Correct anything that is wrong or out of date.
  • Ask for your record to be deleted.
  • Know who your data has been shared with.
  • Withdraw your permission to be contacted, at any time.

These are the rights set out in the Brazilian General Data Protection Law, the LGPD (Law 13.709/2018), which NEW Intercambio follows when handling the data of people in Brazil.

Data outside Brazil

NEW Intercambio is a Canadian company, and part of the services we use sit outside Brazil: our emails are sent through a service in Canada, and the website measurement tools and the team's internal notifications come from companies in the United States. In other words, your data may be handled outside the country, always for the purposes described here.

Under 18s

When the student is under 18, NEW only provides the full service with the permission of a parent or legal guardian: they are the ones who book the programme and follow the process with us. If you are under 18 and want to know about an exchange programme, you can talk to us, but ask your parent or guardian to take part in the conversation.
